REGISTRATION TERMS AND CONDITIONS

• Full payment for registration fees must be received prior to the Conference.
• All prices are in New Zealand dollars and include Goods and Services Tax of 15%.
• If you cancel your registration on or prior to 25 August 2025 you will receive a refund less a cancellation fee of $115. Cancellations made after 25 August 2025 are non-refundable.
• The Privacy Act 2020 provides that, before your name and contact details can be published in a list of participants you must give your consent.  If you select ‘Yes, I do want my details to be included in the list of participants’ on the registration form or by email, your details may be distributed to:
  • Conference delegates, sponsors and exhibitors (note that if consent is given to have your details included in the List of Participants, it is likely that sponsors may add you to their mailing lists and send promotional emails to you)      
  • Organisers of future Library and Information Association of New Zealand Aotearoa events
• If, for reasons beyond the control of the Organising Committee, the Conference is cancelled, registration fees will be refunded after the deduction of expenses already incurred.
• By registering for the Conference, you are confirming consent for any video and photographs taken at the Conference, in which you may appear, to be used by the Association in promotion of the Conference.
• By registering for the Conference, you are consenting for your data to be captured and used as per the “Data Processing Consent Policy”. If you have any queries or concerns regarding this please contact us at lianza@theconferencecompany.com.

Cancellation Policy

• Should you need to cancel your registration for any reason, you may reassign your registration to another person. Please notify The Conference Company of the replacement delegate's name and contact details. Telephone (NZ): + 64 9 360 1240 | Email: LIANZA@theconferencecompany.com
• If you are unable to arrange a replacement, a refund (less an administration charge of $115) will be made, providing written notification is received by Monday, 25 August 2025. After this date no refunds will be made.

Group cancellation policy

• If your organisation registered a group and one (or more) people cancel, you must reassign the registration(s) to other people from your organisation no later than Monday, 25 August 2025. 
• If you are unable to arrange replacement (s), your special group rate will revert to the individual rate per delegate.

Information Presented at the Conference

You understand and agree that you are being provided with the information for educational and informational purposes only and that information will be provided to educate you on the latest educational advancements. 

You understand and agree that whilst the content is accessible worldwide, some content may be applicable to particular regions only, such as Australia and New Zealand. 

Although the Association strives to present only current and accurate information at its Conference, you agree not to solely rely on this information or consider it to be any form of professional advice without additional independent review of its accuracy, completeness, efficacy, and timeliness. 

Any decisions as to how you use this information is in your sole discretion and Association will not be liable for any issues that may arise from such use. 

Participant Conduct

You will conduct yourself in a professional manner that is free from any form of discrimination, harassment, or retaliation.

You will treat all participants with respect and consideration to create a collegial, respectful, inclusive, and professional environment at the LIANZA Conference 2025.

Legal Claim 

This agreement is subject to the law of New Zealand. In the event of any legal claims arising from either party, New Zealand shall be the sole court of jurisdiction. 

Programme 

The Association reserve the right to modify the program, which is published as an indication only. 

ACCOMMODATION TERMS AND CONDITIONS (IF APPLICABLE)

• Prices are in NZ dollars and include Goods and Services tax of 15%
• Rates provided for each of the hotels are specific to the Conference dates only.  
• Room configurations are subject to availability and will be requested to the hotel but cannot be guaranteed.

Bay Plaza Hotel

• A credit card guarantee is required to secure your booking. The credit card details provided will be securely transferred to the hotel to charge one night's deposit for your accommodation on or after Friday, 22nd August 2025. If you make your booking on or after Friday 22nd August 2025, your credit card will be charged for one night's stay immediately. The remaining balance for your reservation should be paid directly with the hotel on check-in.  Any additional costs and incidentals incurred whilst at the hotel are to be paid on check-out.
• If you cancel your booking between Friday 22nd August 2025 and Friday 12 September 2025 you will be charged 1 nights cancellation fee. If you cancel your booking on or after Friday 12 September 2025 or fail to check-in on the arrival date you have specified the credit card provided will be charged for all nights booked.
• You will be asked to provide credit card details for pre-authorisation on check in. If you do not wish to use your credit card then alternatively you can pay a deposit on check in.
• You will be responsible for settling the remaining balance and any incidentals incurred upon departure. Please be advised the hotel will apply a 2% surcharge to all credit card payments. Payment by cash or EFTPOS will not incur a surcharge.
• Check-in time is 2pm. Check-out time is 10am.

Ibis

• A credit card guarantee for the full stay is required to secure your booking. The credit card details provided will be securely transferred to the hotel to charge full payment on or after Friday 22nd August 2025. If you make your booking on or after Friday 22nd August 2025, your credit card will be charged for your full stay immediately.
• If you cancel your booking on or after Wednesday 20th August 2025, or fail to check-in on the arrival date you have specified 100% cancellation fee for all nights booked will apply. 
• You will be asked to provide credit card details for pre-authorisation on check in.  If you do not wish to use your credit card then alternatively you can pay a deposit on check in.
• You will be responsible for paying for any incidentals incurred directly with the hotel on departure. Please be advised the hotel may apply a surcharge to credit card payments. Payment by cash or EFTPOS will not incur a surcharge.
• Check-in time is 2pm. Check-out time is 11am.

Oaks

• A credit card guarantee for the full stay is required to secure your booking. The credit card details provided will be securely transferred to the hotel to charge full payment on or after Friday 22nd August 2025. If you make your booking on or after Friday 22nd August 2025, your credit card will be charged for your full stay immediately.
• If you cancel your booking between Wednesday 20th August 2025 and Monday 1 September 2025, a cancellation fee of one night's accommodation will apply.  If you cancel your booking on or after Monday 1 September 2025, or fail to check-in on the arrival date you have specified, 100% cancellation fee for all nights booked will apply. 
• You will be asked to provide credit card details for pre-authorisation on check in. If you do not wish to use your credit card then alternatively you can pay a deposit on check in.
• You will be responsible for paying for any incidentals incurred directly with the hotel on departure.  Please be advised the hotel will apply a 2% surcharge to all credit and debit card payments. Payment by cash will not incur a surcharge.
• Check-in time is 2pm. Check-out time is 10am.

TRYP

• A credit card guarantee for the full stay is required to secure your booking. The credit card details provided will be securely transferred to the hotel to guarantee the booking.  Full payment should be made directly with the hotel on check-in.  Any additional costs and incidentals incurred whilst at the hotel are to be paid on check-out.
• If you cancel your booking on or after Wednesday 20th August 2025, or fail to check-in on the arrival date you have specified 100% cancellation fee for all nights booked will apply and the credit card provided to guarantee the booking will be charged.
• Please be advised the hotel will apply a 2% surcharge to  Visa and MasterCard credit card payments and 3% for AMEX. Payment by cash or EFTPOS will not incur a surcharge.
• Check-in time is 3pm. Check-out time is 11am.
