Registration Terms and Conditions

  • Full payment for registration fees must be received prior to the IPSANZ Annual Conference 2025.
  • All prices are quoted in Australian dollars.
  • Payment can be made online via credit card at the time of registration. An invoice showing the total fee will be sent to you automatically after payment.
  • Earlybird deadline is Friday 18 July 2025.
  • The Australian Privacy Act 1988 provides that, before your name and contact details can be published in a list of participants you must give your consent.  If you select ‘Yes, I do want my details to be included in the list of participants’ on the registration form or by email, your details may be distributed to:
    • Conference delegates, sponsors and exhibitors (note that if consent is given to have your details included in the List of Participants, it is likely that sponsors may add you to their mailing lists and send promotional emails to you)
    • Organisers of future IPSANZ events.
  • By registering for the IPSANZ Annual Conference 2025, you are confirming consent for any video and photographs of you, to be taken at the event or to be used by IPSANZ in the promotion of the annual conference unless you opt out of this on the registration form.
  • By registering for the conference, you are consenting for your data to be used as per the “Data Consent Policy”. If you decide against your data being used, your registration will be cancelled less the cancellation fee below.
  • Cancellation Policy:
    • If you cancel your registration prior to Friday 25 July 2025 (midnight), you will receive a full refund of the registration fee. 
    • If you cancel your registration after Saturday 26 July 2025 (12.01am), your registration fee will be non-refundable.
    • Your registration can be transferred to another substitute delegate at no additional cost, provided the Secretariat is advised in writing in advance.

Information Presented at the Conference

The information presented at the Conference is solely intended for The Intellectual Property Society of Australia and New Zealand Inc.
You understand and agree that you are being provided with the information for educational and informational purposes only. You understand and agree that whilst the content is accessible worldwide, some content may be applicable to particular regions only, such as Australia and New Zealand. 
Although IPSANZ strives to present only current and accurate information at its conference, you agree not to solely rely on this information or consider it to be any form of professional advice without additional independent review of its accuracy, completeness, efficacy, and timeliness. Any decisions as to how you use this information is in your sole discretion and IPSANZ will not be liable for any issues that may arise from such use.  

Participant Conduct

You will conduct yourself in a professional manner that is free from any form of discrimination, harassment, or retaliation. You will treat all participants with respect and consideration to create a collegial, respectful, inclusive, and professional environment at the conference.

Legal Claim 

This agreement is subject to the law of New Zealand. In the event of any legal claims arising from either party, New Zealand shall be the sole court of jurisdiction. 

Program

IPSANZ reserves the right to modify the program, which is published as an indication only. 

Virtual Content Access

You understand and agree that you are accessing the conference virtual site for your own education and will not provide your log in details to another party or facilitate multiple people to view the meeting content via your device(s).

 

Accommodation Terms and Conditions

Prices are in Australian dollars and include Goods and Services tax of 10%.

Rates provided are specific to the Conference dates only.

Room configurations are subject to availability and will be requested to the hotel but cannot be guaranteed.

Check in time is 3pm. Check out time is 11am.

The Westin Brisbane

  • Individual bookings
    • A credit card guarantee for the full stay is required to secure your booking. The credit card details provided will be securely transferred to the hotel to guarantee the booking.  Full payment should be made directly with the hotel on check-in.  Any additional costs and incidentals incurred whilst at the hotel are to be paid on check-out.
    • If you cancel your booking on or after Friday, 25 July 2025, or fail to check-in on the arrival date you have specified, the credit card provided will be charged for all nights booked.
  • Group bookings
    • Credit card details are required to secure group bookings of 8 or more rooms.  The credit card details will be securely provided to the hotel to guarantee the reservations.   Full payment will be required on check-in at the hotel.  Any additional costs and incidentals incurred whilst at the hotel are to be paid on check-out.
    • If the group is cancelled between 11 July 2025 and 25 July 2025, the credit card supplied as guarantee will be charged 20% of the full amount owed for accommodation.  If the group or individual within the group cancels their reservation on or after Friday, 25 July 2025, or fail to check-in on the arrival date you have specified, the hotel will charge the credit card 100% cancellation fee equal to the total amount of room nights booked.
  • All guests will be required to provide credit card details for pre-authorisation on check-in. If the guest does not wish to use their credit card then a deposit will be required on check-in.
  • Guests are required to settle any outstanding balances, including additional nights and incidentals, directly with the hotel upon departure.
  • Please be advised the hotel may apply a surcharge to all credit card payments. Payment by cash or EFTPOS will not incur a surcharge.
