Registration Terms and Conditions
- Full payment for registration fees must be received prior to the Congress.
- All prices are in AUD and include Goods and Services Tax of 10%.
- Super Earlybird registration closes on Friday 28th February 2025. If payment has not been received by this date, then standard rates will apply.
- Regular Earlybird registration closes Monday 30th June 2025. If payment has not been received by this date, then standard rates will apply.
- If you cancel your registration prior to 19th June 2025, you will receive a refund with a $25 admin fee.
- If you cancel your registration between 20th June - 19th July 2025, you will receive a refund less a cancellation fee of $150. Cancellations made after this date are non-refundable.
- If for reasons beyond the control of the organisers, the Congress is cancelled, registration fees will be refunded after the deduction of expenses already incurred.
- By registering for the Congress you are confirming consent for any video and photographs taken at the Congress, in which you may appear, to be used by the Association in promotion of the Congress.
- By registering for the Congress, you are consenting for your data to be captured and used as per the “Data Processing Consent Policy”. If you have any queries or concerns regarding this please contact us at adc@theconferencecompany.com.
- The Privacy Act 1988 provides that, before your name and contact details can be published in a list of participants you must give your consent. If you select ‘Yes, I do want my details to be included in the list of participants’ in an online form or by email, your details may be distributed to:
- Congress delegates, sponsors and exhibitors (note that if consent is given to have your details included in the List of Participants, it is likely that sponsors may add you to their mailing lists and send promotional emails to you).
- Organisers of future ADEA or ADS events.
Participant Conduct
You will conduct yourself in a professional manner that is free from any form of discrimination, harassment, or retaliation.
You will treat all participants with respect and consideration to create a collegial, respectful, inclusive, and professional environment at the Australasian Diabetes Congress 2024.
Legal Claim
This agreement is subject to the law of Australia. In the event of any legal claims arising from either party, Australia shall be the sole court of jurisdiction.
Program
ADEA and ADS reserve the right to modify the program, which is published as an indication only.
Accommodation Terms and Conditions
• Prices are in Australian dollars and include Goods and Services tax of 10%.
• A credit card guarantee is taken at the time of booking. The credit card will be charged by the hotel as specified below.
• Rates provided for each of the hotels are specific to the Congress dates only.
Avani Broadbeach
- A credit card guarantee for the full stay is required to secure a booking. The credit card details submitted on this booking form will be securely transferred to the hotel to charge the full payment for the accommodation on Monday 14th July 2025. If the booking is made after Monday 14th July 2025, the credit card will be charged for the full stay immediately.
- If the booking is cancelled between Monday 14th July 2025 and Wednesday 30 July 2025 the guest will be charged a cancellation fee of 1 night. If the booking is cancelled on or after Wednesday 30 July, or the guest fails to check-in on the arrival date specified they will be charged a cancellation fee of all nights booked.
- Room configurations are subject to availability. The requested configuration will be sent to the hotel but cannot be guaranteed.
- Guests will be asked to provide credit card details for pre-authorisation on check-in. This will pre-authorise the security amount of $75 which will be lifted after check-out. The pre-authorised amount is set aside by the credit card for a period of up to 7 working days. If the guest does not wish to use their credit card then alternatively they can pay a deposit on check-in.
- Guests will be responsible for settling the remaining balance and any incidentals incurred upon departure. Please be advised the hotel will apply a surcharge of 1.5% to all credit card payments, payment by cash or EFTPOS will not incur a surcharge.
- Check-in time is 2PM. Check-out time is 10AM.
Dorsett Gold Coast Hotel
- A credit card guarantee is required to secure the booking. The credit card details submitted on this booking form will be securely transferred to the hotel to charge one night’s deposit for the accommodation on or after Monday 14th July 2025. If a booking is made after Monday 14th July 2025, the credit card will be charged for one night's deposit immediately. Guest is to pay the remaining balance on check-in at the hotel.
- If the booking is cancelled on or after Monday 14th July 2025, or the guest fails to check-in on the arrival date specified they will be charged a cancellation fee of all nights booked.
- Room configurations are subject to availability. The requested configuration will be sent to the hotel but cannot be guaranteed.
- Guests will be asked to provide credit card details for pre-authorisation on check in. If they do not wish to use their credit card then alternatively they can pay a deposit on check-in.
- Guests will be responsible for settling the remaining balance and any incidentals incurred upon departure. Please be advised the hotel will apply a surcharge of 1.5% to all credit card payments, payment by cash or EFTPOS will not incur a surcharge.
- Check-in time is 3PM. Check-out time is 11AM.
Peppers Broadbeach
- A credit card guarantee for the full stay is required to secure your booking. The credit card details submitted on this booking form will be securely transferred to the hotel to charge the full payment for your accommodation on Monday 14th July 2025. If you make your booking after Monday 14th July 2025, your credit card will be charged for your full stay immediately.
- If the booking is for 3 nights or less and you cancel between Monday 14th July 2025 and Wednesday 30 July, you will be charged a cancellation fee of one night booked. If you cancel the booking on or after Wednesday 30 July, or fail to check-in on the arrival date you have specified you will be charged a cancellation fee of all nights booked.
- If the booking is for 4 nights or more and you cancel between Monday 14th July 2025 and Wednesday 30 July, you will be charged a cancellation fee of two nights booked. If you cancel the booking on or after Wednesday 30 July, or fail to check-in on the arrival date you have specified you will be charged a cancellation fee of all nights booked.

- This hotel requires a 2 night minimum stay.

- A credit card guarantee is required to secure your booking. Guests will be required to pay for their room directly with the hotel on check-in.
- If the booking is amended or cancelled on or after Monday 14th July 2025, or the guest fails to check-in on the arrival date specified, the credit card provided to secure the booking will be charged for all nights' cancelled.
- Room configurations are subject to availability. The requested configuration will be sent to the hotel but cannot be guaranteed.
- The guest will be asked to provide credit card details for pre-authorisation on check in. If they do not wish to use their credit card then alternatively they can pay a deposit of $250 on check-in.
- The guest will be responsible for settling the remaining balance including any incidentals upon departure. Please be advised the hotel will apply a surcharge of 1.4% to all credit card payments, payment by cash or EFTPOS will not incur a surcharge.
- Check-in time is 3PM. Check-out time is 11AM.
