Registration Terms and Conditions

  • Full payment for registration fees must be received prior to the Congress.
  • All prices are in Australian dollars and include Goods and Services Tax of 10%. 
  • If you cancel your registration on or prior to 1 April 2024 you will receive a refund less a cancellation fee of $100. Cancellations made after 1 April 2024 are non-refundable.
  • Up until 20 May 2024, cancellations of tours associated with the Congress will afford a full refund. Cancellations after this date will incur a penalty fee of 50% of the full tour price.
  • The Privacy Act 1988 provides that, before your name and contact details can be published in a list of participants you must give your consent.  If you select ‘Yes, I do want my details to be included in the list of participants’ on the registration form or by email, your details may be distributed to:
    • Congress delegates, sponsors and exhibitors (note that if consent is given to have your details included in the List of Participants, it is likely that sponsors may add you to their mailing lists and send promotional emails to you)
    • Organisers of future World Potato Congress events and future Potatoes Australia events
  • If, for reasons beyond the control of the Organising Committee, the Congress is cancelled, registration fees will be refunded after the deduction of expenses already incurred.
  • By registering for the Congress you are confirming consent for any video and photographs taken at the Congress, in which you may appear, to be used by the Association in promotion of the Congress.
  • By registering for the Congress, you are consenting for your data to be used as per the Data Consent Policy. If you decide against your data being used, your registration will be cancelled less the cancellation fee above.

We ask for your personal data to facilitate your participation in this event. Your data will be used solely for this event and under no circumstances be sold or used for other purposes.
Your personal data will be automatically anonymised 24 months after the conclusion of this event.

Information Presented at the Congress

The information presented at the Congress is solely intended for Professionals. 
You understand and agree that you are being provided with the information for educational and informational purposes only and that information will be provided to educate you on the latest scientific, clinical, therapeutic and educational advancements. 
You understand and agree that whilst the content is accessible worldwide, some content may be applicable to particular regions only, such as Australia and New Zealand. 

Although the World Potatoes Congress Inc and Potatoes Australia strive to present only current and accurate information at its Congress, you agree not to solely rely on this information or consider it to be any form of professional advice without additional independent review of its accuracy, completeness, efficacy, and timeliness. 
Any decisions as to how you use this information is in your sole discretion and the Congress will not be liable for any issues that may arise from such use. 

Participant Conduct

You will conduct yourself in a professional manner that is free from any form of discrimination, harassment, or retaliation.
You will treat all participants with respect and consideration to create a collegial, respectful, inclusive, and professional environment at the World Potato Congress 2024.

Legal Claim 

This agreement is subject to the law of Australia. In the event of any legal claims arising from either party, Australia shall be the sole court of jurisdiction. 

The World Potatoes Congress Inc reserve the right to modify the program, which is published as an indication only. 

Insurance

If you are travelling to the Congress, it is strongly recommended that you purchase comprehensive travel insurance to cover the duration of your visit.

 

Accommodation Terms and Conditions

  • Prices are in Australian dollars and include Goods and Services tax of 10%.
  • Individual bookings: A credit card guarantee is taken at the time of booking. The credit card will be charged by the hotel as specified below.  Hotel terms and conditions are as specified below.
  • Group bookings of 5 or more rooms: Full pre-payment at time of reservation is required for group bookings of 5 or more rooms. Payment can be made by bank transfer or credit card (Visa or Mastercard). Note that a 2.6% credit card fee is applicable for payments by credit card. Hotel terms and conditions are as specified below.
  • Rates provided for each of the hotels are specific to the Congress dates only.
  • Room configurations are subject to availability. The requested configuration will be sent to the hotel but cannot be guaranteed.

Holiday Inn Express Adelaide City Centre

  • The room rate is inclusive of:
    • Express Start Buffet Breakfast or Grab and Go option.  (1 per room per night)
    • High-speed Wi-Fi - unlimited and available on multiple devices
  • The hotel does not have an onsite car park. Car parking is available offsite at Care Park on Blyth Street, next door to the hotel. The hotel has discounted exit tickets for $25 per exit available for purchase at the Front Desk.
  • Check-in time is 2pm. Check-out time is 10am.

Individual Bookings

  • A credit card guarantee is required to secure your booking. Your credit card details will be securely provided to the hotel to guarantee your reservation.  Full payment will be charged to the credit card provided at 30-days before check in.  A credit card surcharge will be applied by the hotel.  Any additional costs and incidentals incurred whilst at the hotel are to be paid on check-out.  
  • If you cancel your booking on or after 12 May 2024 or fail to check-in on the arrival date you have specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked. 
  • You will be asked to provide credit card details for pre-authorisation on check in. If you do not wish to use your credit card then alternatively you can pay a deposit on check in.
  • Please be advised the hotel will apply a surcharge to all credit card payments (Diners and JCB 3%, and all other cards 1.5% surcharge).  Payment by cash or EFTPOS will not incur a surcharge.

Group Bookings (5 or more rooms) 

  • Full pre-payment at time of reservation is required for group bookings of 5 or more rooms. Payment can be made by bank transfer or credit card (Visa or Mastercard). Note that a 2.6% credit card fee is applicable for payments by credit card.
  • If the group is cancelled between 21 March 2024 and 12 May 2024, a cancellation fee of 20% of the full amount owed for accommodation will be applied. If the group or individual within the group cancels their reservation on or after 12 May 2024 or fail to check in on the arrival date specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked.
  • The guest will be asked to provide credit card details for pre-authorisation on check in. If they do not wish to use their credit card then alternatively they can pay a deposit on check in.
  • The guest will be responsible for settling the remaining balance and any additional nights booked, at the time of check in. Any incidentals incurred during the stay will need to be paid direct to the hotel upon check-out. Please be advised the hotel will apply a surcharge to all credit card payments (Diners and JCB 3%, and all other cards 1.5% surcharge).  Payment by cash or EFTPOS will not incur a surcharge.

Hotel Grand Chancellor

  • The room rate is inclusive of Wi-Fi
  • Buffet breakfast can be purchased at the hotel for $32 per person per day
  • Car parking is self-parking and charged at $25 per space per night 
  • Check-in time is 2pm. Check-out time is 11am.

Individual Bookings

  • A credit card guarantee is required to secure your booking. Your credit card details will be securely provided to the hotel to guarantee your reservation.  One night's pre-payment will be charged to the credit card provided at 30-days before check in.  A credit card surcharge may be applied by the hotel.  The remaining balance, and any additional costs and incidentals incurred whilst at the hotel are to be paid directly with the hotel on check-out.  
  • If you cancel your booking on or after 12 May 2024 or fail to check-in on the arrival date you have specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked. 
  • You will be required to supply a credit card imprint of $50 per night on check in.  For any credit cards without PIN facility, photo ID matching the credit card will be required on arrival.

Group Bookings (5 or more rooms) 

  • Full pre-payment at the time of reservation is required for group bookings of 5 or more rooms. Payment can be made by bank transfer or credit card (Visa or Mastercard). Note that a 2.6% credit card fee is applicable for payments by credit card.
  • If the group is cancelled between 21 March 2024 and 12 May 2024, a cancellation fee of 20% of the full amount owed for accommodation will be applied. If the group or individual within the group cancels their reservation on or after 12 May 2024 or fail to check in on the arrival date specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked.
  • Each guest will be required to a supply a credit card imprint of $50 per night on check in.  For any credit cards without PIN facility, photo ID matching the credit card will be required on arrival. 

InterContinental Adelaide

  • The room rate is inclusive of entrance to the gym
  • A buffet breakfast is served daily in Riverside Restaurant at $30 per person.  Additional charges apply for room service breakfast.
  • Check-in time is 3pm. Check-out time is 11am.

Individual Bookings

  • A credit card guarantee is required to secure your booking. Your credit card details will be securely provided to the hotel to guarantee your reservation.  Full payment will be charged to the credit card provided at 30-days before check in.  A credit card surcharge will be applied by the hotel.  Any additional costs and incidentals incurred whilst at the hotel are to be paid on check-out.  
  • If you cancel your booking on or after 12 May 2024 or fail to check-in on the arrival date you have specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked. 
  • You will be asked to provide credit card details for pre-authorisation of $100 on check in. These funds will be held as a guarantee and used to settle the final invoice on departure. Should you wish to settle with an alternate payment option, note that the funds held on the card can take up to 7 business days to appear in your bank account.
  • Please be advised the hotel will apply a surcharge to all credit card payments (Diners and JCB 3%, and all other cards 1.5% surcharge).  Payment by cash or EFTPOS will not incur a surcharge.

Group Bookings (5 or more rooms)

Mercure Grosvenor Hotel Adelaide

  • The room rate is inclusive of high-speed wireless internet
  • A Grab N Go continental breakfast can be purchased at the hotel for $15 per person per day
  • Under cover parking is available to in-house guests at a charge of $20 per car per day
  • Check-in time is 2pm. Check-out time is 11am.

Individual Bookings

  • A credit card guarantee is required to secure your booking. Your credit card details will be securely provided to the hotel to guarantee your reservation.  One night's pre-payment will be charged to the credit card provided at 30-days before check in.  A credit card surcharge may be applied by the hotel.  The remaining balance should be paid directly to the hotel on check-in. Any additional costs and incidentals incurred whilst at the hotel are to be paid direct with the hotel on check-out.  
  • If you cancel your booking between 12 May 2024 and 30 May 2024 the hotel will charge 1 night's cancellation fee.  If you cancel your booking on or after 30 May 2024, or fail to check-in on the arrival date you have specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked. 
  • You will be required to supply a credit card authorisation or cash deposit of^$50 per room per night on check in.  This is to cover incidental charges and the balance will be refunded on departure.

Group Bookings (5 or more rooms) 

  • Full pre-payment at time of reservation is required for group bookings of 5 or more rooms. Payment can be made by bank transfer or credit card (Visa or Mastercard). Note that a 2.6% credit card fee is applicable for payments by credit card.
  • If the group is cancelled between 21 March 2024 and 12 May 2024, a cancellation fee of 20% of the full amount owed for accommodation will be applied. If the group cancels their reservation on or after 12 May 2024 or fail to check in on the arrival date specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked. 
  • Each guest will be required to supply a credit card authorisation or cash deposit of^$50 per room per night on check in.  This is to cover incidental charges and the balance will be refunded on departure.

Oaks Embassy & Horizon

  • The room rate is inclusive internet
  • There is an additional person rate of $49 per person per day
  • The rates do not include GST and therefore are GST exclusive (GST does not apply as Oaks Embassy and Oaks Horizon are strata title properties)
  • Check-in time is 2pm. Check-out time is 10am.

Individual Bookings

  • A credit card guarantee is required to secure your booking. Your credit card details will be securely provided to the hotel to guarantee your reservation.  Full payment will be charged to the credit card provided at 30-days before check in.  A credit card surcharge will be applied by the hotel.  Any additional costs and incidentals incurred whilst at the hotel are to be paid on check-out.  
  • If you cancel your booking between 12 May 2024 and 30 May 2024 the hotel will charge 1 night's cancellation fee.  If you cancel your booking on or after 30 May 2024, or fail to check-in on the arrival date you have specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked.   
  • You will be asked to provide a credit card imprint on check in. This will pre-authorise the security amount of $75 which will removed after departure,  The pre-authorised amount is set aside by the credit card company for a period of 7 working days and will affect your available balance or spending limit on your credit card.
  • Please be advised the hotel will apply a surcharge of 1.5% to all credit card payments. 

Group Bookings (5 or more rooms) 

  • Full pre-payment at time of reservation is required for group bookings of 5 or more rooms. Payment can be made by bank transfer or credit card (Visa or Mastercard). Note that a 2.6% credit card fee is applicable for payments by credit card.
  • If the group is cancelled between 21 March 2024 and 12 May 2024, a cancellation fee of 20% of the full amount owed for accommodation will be applied.   • The room rate is inclusive of in-room internet. It includes complimentary Hi-Speed Wi-Fi.
  • Fitness facilities (gym, and pool) are available at no charge and exclusively to all Oval Hotel guests, while day spa, massage or beauty treatments will be quoted according to your needs.
  • Each guest receives a complimentary welcome drink on arrival
  • Minimum Night Stay: Two (2) nights per room
  • Check-in time is 2pm. Check-out time is 11am.

Individual Bookings

  • A credit card guarantee is required to secure your booking. Your credit card details will be securely provided to the hotel to guarantee your reservation. Full payment will be charged to the credit card provided at 30-days before check in. Any additional costs and incidentals incurred whilst at the hotel are to be paid on check-out.  
  • If you cancel your booking on or after 12 May 2024 or fail to check-in on the arrival date you have specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked. e total amount of room nights booked.

Group Bookings (5 or more rooms) 

  • Full pre-payment at the time of reservation is required for group bookings of 5 or more rooms. Payment can be made by bank transfer or credit card (Visa or Mastercard). Note that a 1.3% credit card fee is applicable for payments by credit card.
  • If the group is cancelled between 21 March 2024 and 12 May 2024, a cancellation fee of 20% of the full amount owed for accommodation will be applied. If the group cancels their reservation on or after 12 May 2024 or fail to check in on the arrival date specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked. 
  • Each guest will be asked to provide credit card details for pre-authorisation of $100 on check-in, as well as photo identification is required such as a driver’s license or valid passport. This bond will be refunded upon checkout. Oval Hotel is a cashless venue.

Playford Adelaide

  • Check-in time is 3pm. Check-out time is 11am.

  • If you cancel your booking on or after 12 May 2024 or fail to check-in on the arrival date you have specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked. 
  • You may be required to supply a credit card authorisation on check in.
  • Please be advised the hotel will apply a surcharge to all credit card payments (Visa/Mastercard - 0.86% | Amex - 1.95%).  Payment by cash or EFTPOS will not incur a surcharge.

Group Bookings (5 or more rooms)

  • If the group is cancelled between 21 March 2024 and 12 May 2024, a cancellation fee of 20% of the full amount owed for accommodation will be applied. If the group or individual within the group cancels their reservation on or after 12 May 2024 or fail to check in on the arrival date specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked.
  • The guest may be required to supply a credit card authorisation on check in.
