Registration Terms and Conditions

  • Full payment for registration fees must be received prior to the Meeting. 
  • All prices are in New Zealand dollars and include Goods and Services Tax of 15%.
  • If you cancel your registration on or prior to 29 March 2024 you will receive a refund less a cancellation fee of $150. Cancellations made after this date are non-refundable.
  • The Privacy Act 2020 provides that, before your name and contact details can be published in a list of participants you must give your consent.  If you select ‘Yes, I do want my details to be included in the list of participants’ on the registration form or by email, your details may be distributed to:
    • Meeting delegates, sponsors and exhibitors (note that if consent is given to have your details included in the List of Participants, it is likely that sponsors may add you to their mailing lists and send promotional emails to you)   
    • Organisers of future ARA and NZRA events
  • By registering for the Meeting you are confirming consent for any video and photographs taken at the Meeting, in which you may appear, to be used by the Association in promotion of the Meeting.
  • By registering for the Meeting, you are consenting for your data to be used as per the “Data Consent Policy”. If you decide against your data being used, your registration will be cancelled less the cancellation fee above.

Cancellation Policy

  • Should you need to cancel your registration for any reason, you may reassign your registration to another person. Please notify The Conference Company of the replacement delegate's name and contact details. Telephone (NZ): + 64 9 360 1240 | Email: nzra-ara2024@theconferencecompany.com
  • If you are unable to arrange a replacement, a refund (less an administration charge of $150) will be made, providing written notification is received by 29 March 2024. After this date no refunds will be made.

Group cancellation policy

  • If your organisation registered a group and one (or more) people cancel, you must reassign the registration(s) to other people from your organisation no later than 29 March 2024
  • If you are unable to arrange replacement (s), your special group rate will revert to the individual rate per delegate.

Information Presented at the Meeting

You understand and agree that you are being provided with the information for educational and informational purposes only and that information will be provided to educate you on the latest educational advancements.

You understand and agree that whilst the content is accessible worldwide, some content may be applicable to particular regions only, such as Australia and New Zealand. 

Although the Association strives to present only current and accurate information at its Meeting, you agree not to solely rely on this information or consider it to be any form of professional advice without additional independent review of its accuracy, completeness, efficacy, and timeliness.

Any decisions as to how you use this information is in your sole discretion and Association will not be liable for any issues that may arise from such use.  

Participant Conduct

You will conduct yourself in a professional manner that is free from any form of discrimination, harassment, or retaliation.

You will treat all participants with respect and consideration to create a collegial, respectful, inclusive, and professional environment at the 2024 Joint ARA and NZRA Annual Scientific Meeting.

Legal Claim

This agreement is subject to the law of New Zealand. In the event of any legal claims arising from either party, New Zealand shall be the sole court of jurisdiction. 

Programme

The Association reserve the right to modify the programme, which is published as an indication only. 

Accommodation Terms and Conditions 

  • Prices are in New Zealand dollars and include Goods and Services Tax of 15%.
  • Rates provided for the hotel are specific to the Meeting dates only.
  • Room configurations are subject to availability. The requested configuration will be sent to the hotel but cannot be guaranteed.
  • You will be asked to provide credit card details for pre-authorisation on check in. If you do not wish to use your credit card then alternatively you can pay a deposit on check in.
  • Please be advised the hotel may apply a surcharge to all credit card payments, payment by cash or EFTPOS will not incur a surcharge.

BreakFree on Cashel

  • A credit card guarantee for the full stay is required to secure your booking. The credit card details submitted on this booking form will be securely transferred to the hotel. The hotel will charge the full amount on this credit card for your booking 30 days before your arrival. There will be a surcharge for this payment.
  • If you cancel your booking on or after 9 May 2024 or fail to check-in on the arrival date you have specified, you will be subject to full cancellation charges for all nights booked. 
  • Room configurations are subject to availability and will be requested to the hotel but cannot be guaranteed.
  • All guests will be required to provide credit card details for pre-authorisation on check-in. If the guest does not wish to use their credit card then a deposit will be required on check-in.
  • All guests are responsible for settling the full hotel bill including any additional nights booked while at the hotel and any incidentals incurred upon departure.
  • Check in is at 2pm.  Check out is at 10am.

Crowne Plaza

  • A credit card guarantee for the full stay is required to secure your booking. The credit card details submitted on this booking form will be securely transferred to the hotel to guarantee your room.
  • If you cancel your booking on or after 9 May 2024 or fail to check-in on the arrival date you have specified, you will be subject to full cancellation charges for all nights booked.
  • Room configurations are subject to availability and will be requested to the hotel but cannot be guaranteed.
  • All guests will be required to provide credit card details for pre-authorisation on check-in. If the guest does not wish to use their credit card then a deposit will be required on check-in.
  • All guests are responsible for settling the full hotel bill including any additional nights booked while at the hotel and any incidentals incurred upon departure. Please be advised the hotel will apply a surcharge of 2% to all credit card payments, payment by cash or EFTPOS will not incur a surcharge.
  • Check in is at 3pm. Check out is at 11am.

Fable Hotel

  • A credit card guarantee for the full stay is required to secure your booking. The credit card details submitted on this booking form will be securely transferred to the hotel to guarantee your room.
  • If you cancel your booking on or after 9 May 2024 or fail to check-in on the arrival date you have specified, you will be subject to full cancellation charges for all nights booked.
  • Room configurations are subject to availability and will be requested to the hotel but cannot be guaranteed.
  • All guests will be required to provide credit card details for pre-authorisation on check-in. If the guest does not wish to use their credit card then a deposit will be required on check-in.
  • All guests are responsible for settling the full hotel bill including any additional nights booked while at the hotel and any incidentals incurred upon departure.
