Registration Terms and Conditions
- Full payment for registration fees must be received prior to the Meeting.
- All prices are in Australian dollars and include Goods and Services Tax of 10%.
- If you cancel your registration on or prior to 12 July 2025 you will receive a refund less a cancellation fee of $250. Cancellations made after 12 July 2025 are non-refundable.
- The Privacy Act 1988 provides that before your name and contact details can be published in a list of participants you must give your consent. If you select ‘Yes, I do want my details to be included in the list of participants’ on the registration form or by email, your details may be distributed to:
- Meeting delegates, sponsors, and exhibitors (note that if consent is given to have your details included in the List of Participants, it is likely that sponsors may add you to their mailing lists and send promotional emails to you)
- Organisers of future Medical Oncology Group of Australia events
- If, for reasons beyond the control of the Organising Committee, the Meeting is cancelled, registration fees will be refunded after the deduction of expenses already incurred.
- By registering for the Meeting you are confirming consent for any video and photographs taken at the Meeting, in which you may appear, to be used by the Association in promotion of the Meeting.
- By registering for the Meeting, you are consenting for your data to be used as per the “Personal Data Collected” terms below. If you decide against your data being used, your registration will be cancelled less the cancellation fee above.
Registration Refund Policy
- Non-refundable Registrations: Fees under $250 are non-refundable.
- Refundable Registrations: For fees over $250, cancellations made before July 12 2025, will be refunded minus a $250 cancellation fee. Cancellations after this date are non-refundable.
Cancellations
All cancellations must be made in writing to the MOGA Secretariat via moga@moga.org.au. Cancellations made prior to 12 July 2025 will be refunded less $250.00 to cover administration costs. No registration refunds will be made after this date, and refunds for guest tickets to the social functions will be assessed on a case-by-case basis. You may elect to reassign your registration, in which case please contact the MOGA Secretariat with the replacement delegate contact details. If, for reasons beyond the control of the MOGA Secretariat, the meeting is cancelled, the registration fees will be refunded after deduction of expenses already incurred.
Information Presented at the Meeting
The information presented at the Meeting is solely intended for Health Care Professionals.
You understand and agree that you are being provided with the information for educational and informational purposes only and that information will be provided to educate you on the latest scientific, clinical, therapeutic, and educational advancements.
You understand and agree that whilst the content is accessible worldwide, some content may be applicable to particular regions only, such as Australia and New Zealand.
Although the Medical Oncology Group of Australia strives to present only current and accurate information at its Meeting, you agree not to solely rely on this information or consider it to be any form of professional advice without additional independent review of its accuracy, completeness, efficacy, and timeliness.
Any decisions as to how you use this information is in your sole discretion and Medical Oncology Group of Australia will not be liable for any issues that may arise from such use.
Participant Conduct
You will conduct yourself in a professional manner that is free from any form of discrimination, harassment, or retaliation.
You will treat all participants with respect and consideration to create a collegial, respectful, inclusive, and professional environment at the Medical Oncology Group of Australia Meeting.
Legal Claim
This agreement is subject to the law of Australia. In the event of any legal claims arising from either party, Australia shall be the sole court of jurisdiction.
Program
The Medical Oncology Group of Australia reserve the right to modify the program, which is published as an indication only.
Photography/Video
The Medical Oncology Group of Australia ASM 2025 will be held in a public space; therefore we do not prohibit participants, exhibitors, supporters, news organisations and other companies from photographing or video or audio-taping meeting activities. Additionally, the Organisers may arrange for photos to be taken during the meeting. The Organisers reserve the right to use images taken at the meeting with your photograph and/or likeness in future marketing materials, including on the internet. MOGA may also use images taken at the meeting with your photograph and/or likeness in future marketing materials, including on the internet.
Health & Safety
The MOGA Secretariat, in conjunction with the ASM Organising Committee and the Meeting Venues and Sites, are committed to providing and maintaining a safe and healthy meeting environment for all attendees, and to providing the information needed to achieve this; and, will take responsibility for providing and monitoring compliance with health and safety policies, procedures and conditions of entry for all Meeting sites and venues, however, all meeting attendees need to be aware of their own responsibilities at all times.
Each meeting attendee is encouraged to play a vital and responsible role in maintaining a safe and healthy meeting environment through:
- Listening to the health and safety briefing on site and/or;
- Reading the health and safety procedure document provided on site at the registration desk.
- Ensuring all accidents and incidents that occur on site at the meeting are reported.
- Informing the MOGA Secretariat, a member of MOGA ASM Organising Committee or a staff member at the Meeting Venue immediately of any health and safety concerns.
- Respecting your own personal safety and that of other meeting delegates and employees.
Insurance
If you are travelling to the Meeting, it is strongly recommended that you purchase comprehensive travel insurance to cover the duration of your visit.
Accommodation Terms and Conditions (if applicable)
- Prices are in AUD and include Goods and Services tax of 10%.
- A credit card guarantee is taken at the time of booking. The credit card will be charged by the hotel as specified below.
- Rates provide for each of the hotels are specific to the Meeting dates only.
- Rates are for Room only unless otherwise specified.
Mantra on Jolimont
- A credit card guarantee for the full stay is required to secure your booking. The credit card details submitted on this booking form will be securely transferred to the hotel to charge the full payment for your accommodation on or after Friday 11 July 2025. If you make your booking after Friday 11th July 2025, your credit card will be charged for your full stay immediately.
- If the booking is for 3 nights or less and you cancel between Tuesday 8th July 2025 and Tuesday 22nd July, you will be charged a cancellation fee of one night booked. If you cancel the booking on or after Tuesday 22nd July, or fail to check-in on the arrival date you have specified you will be charged a cancellation fee of all nights booked.
- If the booking is for 4 nights or more and you cancel between Tuesday 8th July 2025 and Tuesday 22nd July, you will be charged a cancellation fee of two nights booked. If you cancel the booking on or after Tuesday 22nd July, or fail to check-in on the arrival date you have specified you will be charged a cancellation fee of all nights booked.
- Room configurations are subject to availability. The requested configuration will be sent to the hotel but cannot be guaranteed.
- This hotel requires a 2 night minimum stay.
- You will be asked to provide credit card details for pre-authorisation on check in. If you do not wish to use your credit card then alternatively you can pay a deposit on check in.
- You will be responsible for settling the remaining balance and any additional nights booked at the time of check in and any incidentals incurred upon departure. Please be advised the hotel will apply a 1.5 % surcharge to all credit card payments, payment by cash or EFTPOS will not incur a surcharge.
- Check-in time is 2pm. Check-out time is 10am.
Pullman Melbourne on the Park
- The credit card details submitted in the online form will be used to guarantee the booking. The details will be securely transferred to the hotel 30 days prior to check in. The hotel will charge the credit card for all night's accommodation on or after Friday 11th July 2025.
- If you cancel your reservation on or after Tuesday 8th July 2025 or fail to check in on the arrival date you have specified, you will be charged a cancellation fee of all nights booked.
- Room configurations are subject to availability. The requested configuration will be sent to the hotel but cannot be guaranteed.
- You will be asked to provide credit card details for pre-authorisation on check in. If you do not wish to use your credit card then alternatively you can pay a deposit on check in.
- You will be responsible for settling the remaining balance and any additional nights booked at the time of check in and any incidentals incurred upon departure. Please be advised the hotel will apply a 1.4 % surcharge to all credit card payments, payment by cash or EFTPOS will not incur a surcharge.
