Registration Terms and Conditions

• Full payment for registration fees must be received prior to the Conference.
• All prices are in New Zealand dollars and include Goods and Services Tax of 15%.
• If you cancel your registration on or prior to Wednesday 10th July 2024 you will receive a refund less a cancellation fee of $50. Cancellations made after Wednesday 10th July are non-refundable.
• The Privacy Act 2020 provides that, before your name and contact details can be published in a list of participants you must give your consent.  If you select ‘Yes, I do want my details to be included in the list of participants’ on the registration form or by email, your details may be distributed to:
  • Conference delegates, sponsors and exhibitors (note that if consent is given to have your details included in the List of Participants, it is likely that sponsors may add you to their mailing lists and send promotional emails to you)      
  • Organisers of future Scion events
• If, for reasons beyond the control of the Organising Committee, the Conference is cancelled, registration fees will be refunded after the deduction of expenses already incurred.
• By registering for the Conference you are confirming consent for any video and photographs taken at the Conference, in which you may appear, to be used by Scion and ForestSAT for publicity.
• By registering for the Conference, you are consenting for your data to be captured and used as per the “Data Processing Consent Policy”. If you have any queries or concerns regarding this please contact us at ForestSAT2024@theconferencecompany.com. 

Participant Conduct

You will conduct yourself in a professional manner that is free from any form of discrimination, harassment, or retaliation.

You will treat all participants with respect and consideration to create a collegial, respectful, inclusive, and professional environment at the ForestSAT 2024 Conference.

Legal Claim 

This agreement is subject to the law of New Zealand. In the event of any legal claims arising from either party, New Zealand shall be the sole court of jurisdiction. 

Programme 

The Client reserve the right to modify the program, which is published as an indication only. 

Recordings 

The Client plans to record the Conference sessions, recordings will be made available via the virtual platform to conference registrants only. You agree not to share your access with unregistered attendees. 

Insurance

If you are travelling to the Conference, it is strongly recommended that you purchase comprehensive travel insurance to cover the duration of your visit.

Accommodation Terms and Conditions 

• Prices are in NZ dollars and include Goods and Services tax of 15%
• Rates provided for each of the hotels are specific to the Conference dates only.  
• Accommodation Group Bookings - Full payment is required in advance for group bookings of 8 people or more. If the group cancels between Tuesday 9 July 2024 and Monday 6 August 2024, a cancellation fee of 20% of the full accommodation costs will be applicable. If the group cancels on or after Monday 6 August 2024 a cancellation fee of 100% of the costs are applicable. 

Pullman Hotel

• A credit card guarantee is required to secure your booking. Full payment will be required directly at the hotel on check in.
• If you cancel your reservation on or after Monday 6 August 2024 or fail to check in on the arrival date you have specified, the credit card supplied as guarantee will be charged the full amount owed for accommodation. 
• Room configurations are subject to availability. The requested configuration will be sent to the hotel but cannot be guaranteed.
• You will be asked to provide a credit card on check in. This will be used as a guarantee for any incidental charges incurred during your stay.
• You will be responsible for settling the remaining balance and any additional nights booked at the time of check in and any incidentals incurred upon departure. Please be advised the hotel will apply a surcharge of 2% to all credit card payments, payment by cash or EFTPOS will not incur a surcharge.
• Breakfast is served at Barrel & Co. restaurant, which is located on the Ground level. Breakfast is an additional $35.00 per person per day.
• Check-in time is 2:00 pm. Check-out time is 10:00 am.

Sudima Lake Rotorua

• A credit card guarantee is required to secure your booking. Full payment will be required directly at the hotel on check in.
• If you cancel your reservation on or after Monday 6 August 2024 or fail to check in on the arrival date you have specified, the credit card supplied as guarantee will be charged the full amount owed for accommodation. 
• Room configurations are subject to availability. The requested configuration will be sent to the hotel but cannot be guaranteed.
• You will be asked to provide a credit card on check in. This will be used as a guarantee for any incidental charges incurred during your stay.
• You will be responsible for settling the remaining balance and any additional nights booked at the time of check in and any incidentals incurred upon departure. Please be advised the hotel will apply a surcharge of 2.5% to all credit card payments, payment by cash or EFTPOS will not incur a surcharge.
• Breakfast is an additional $35 per person per day.
• Check-in time is 2:00 pm. Check-out time is 11:00 am.

Millenium Hotel Rotorua

• A credit card guarantee is required to secure your booking. Full payment will be required directly at the hotel on check in.
• If you cancel your reservation on or after Monday 6 August 2024, or fail to check in on the arrival date you have specified, the credit card supplied as guarantee will be charged the full amount owed for accommodation. 
• Room configurations are subject to availability. The requested configuration will be sent to the hotel but cannot be guaranteed.
• You will be asked to provide credit card details of $50 deposit on check in (with proof of identity e.g. Passport or Driver's License). This will be used as a guarantee for any incidental charges incurred during your stay.
• You will be responsible for settling the remaining balance and any additional nights booked at the time of check in and any incidentals incurred upon departure. Please be advised the hotel will apply a surcharge of 2% to all credit card payments, payment by cash or EFTPOS will not incur a surcharge.
• Full cooked buffet breakfast is available for NZ$28.00 including GST per person per day.
• Check-in time is 2:00 pm. Check-out time is 10:00 am.

Ibis Rotorua
