Registration Terms and Conditions

  • Full payment for registration fees must be received prior to the Conference.
  • Access will not be provided to the virtual platform unless all fees are paid in advance.
  • All prices are in New Zealand dollars and include Goods and Services Tax of 15%.
  • If you cancel your registration on or prior to Friday November 3 2023 you will receive a refund less a cancellation fee of NZD$150. Cancellations made after this date are non-refundable.
  • The Privacy Act 2020 provides that, before your name and contact details can be published in a list of participants you must give your consent.  If you select ‘Yes, I do want my details to be included in the list of participants’ on the registration form or by email, your details may be distributed to:
    • Conference delegates, sponsors and exhibitors (note that if consent is given to have your details included in the List of Participants, it is likely that sponsors may add you to their mailing lists and send promotional emails to you)      
    • Organisers of future ASCILITE events
  • If, for reasons beyond the control of the Organising Committee, the Conference is cancelled, registration fees will be refunded after the deduction of expenses already incurred.
  • By registering for the Conference you are confirming consent for any video and photographs taken at the Conference, in which you may appear, to be used by the Association in promotion of the Conference.

Information Presented at the Conference

The information presented at the Conference is solely intended for leaders, practitioners and researchers who engage in and support education technology in higher education.. 
You understand and agree that you are being provided the information for educational and informational purposes only.
You understand and agree that whilst the content is accessible worldwide, some content may be applicable to particular regions only. 
Although the Conference organisers strive to present only current and accurate information at its Conference, you agree not to solely rely on this information or consider it to be any form of professional advice without additional independent review of its accuracy, completeness, efficacy, and timeliness. 
Any decisions as to how you use this information is in your sole discretion and the Conference organisers will not be liable for any issues that may arise from such use.

 

Virtual Content Access 

You understand and agree that you are accessing the Conference virtual site for your own education and will not provide your log in details to another party or facilitate multiple people to view the meeting content via your device(s).

 

Participant Conduct

You will conduct yourself in a professional manner that is free from any form of discrimination, harassment, or retaliation.

You will treat all participants with respect and consideration to create a collegial, respectful, inclusive, and professional environment at the ASCILITE Conference both in person and virtually.

 

Legal Claim 

This agreement is subject to the law of New Zealand. In the event of any legal claims arising from either party, New Zealand shall be the sole court of jurisdiction. 

 

Programme 

ASCILITE reserve the right to modify the programme, which is published as an indication only. 

 

Recordings 

ASCILITE will be recording the Conference sessions.  Those recordings will be made available to registered participants. 

 

I acknowledge that photographs and/or videos may be taken of me and other attendees at any time during the Conference and may be used in media, including websites and print publications. 

 

No audio, recording, copy or screenshots of the programme by any party other than the Conference Organisers is permitted.

 

Accommodation Terms and Conditions (if applicable)

  • Prices are in New Zealand dollars and include Goods and Services tax of 15%.
  • Individual bookings: A credit card guarantee is taken at the time of booking. The credit card will be charged by the hotel as specified below.  Hotel terms and conditions are as specified below.
  • Group bookings of 5 or more rooms: Full pre-payment at time of reservation is required for group bookings of 5 or more rooms. Payment can be made by bank transfer or credit card (Visa or Mastercard). Note that a 2.6% credit card fee is applicable for payments by credit card. Hotel terms and conditions are as specified below.
  • Rates provided for each of the hotels are specific to the Conference dates only.
  • Room configurations are subject to availability. The requested configuration will be sent to the hotel but cannot be guaranteed.

Crowne Plaza Christchurch

  • The hotel offers outdoor self-parking at a cost of $25 per day. (cost current as at July 2023 but may be subject to change).  The parking is available 24/7, subject to availability.  
  • Breakfast can be purchased at the inhouse Market Place Restaurant at a rate of $36 per person per day
  • Check-in time is 3pm. Check-out time is 11am.

Individual Bookings

  • The credit card supplied on the accommodation page of the online form will be used guarantee your booking.  Full payment should be made directly with the hotel upon check in.  
  • If you cancel your booking on or after 30 October 2023, or fail to check-in on the arrival date you have specified the hotel will charge the credit card supplied 100% cancellation fee equal to the total amount of room nights booked. 
  • You may be asked to provide credit card details for pre-authorisation on check in. If you do not wish to use your credit card then alternatively you can pay a deposit on check in.
  • Please be advised the hotel will apply a surcharge to all credit card payments (Visa and Mastercard 1.5% surcharge and 3% for American Express).  Payment by cash or EFTPOS will not incur a surcharge.

Group Bookings (5 or more rooms) 

  • Full pre-payment at time of reservation is required for group bookings of 5 or more rooms. Payment can be made by bank transfer or credit card (Visa or Mastercard). Note that a 2.6% credit card fee is applicable for payments by credit card.
  • If the group is cancelled between 29 September 2023 and 30 October 2023, a cancellation fee of 20% of the full amount owed for accommodation will be applied. If the group or individual within the group cancels their reservation on or after 30 October 2023, or fail to check in on the arrival date specified the hotel will charge 100% cancellation fee equal to the total amount of room nights booked.
  • The guest will be asked to provide credit card details for pre-authorisation on check in. If they do not wish to use their credit card then alternatively they can pay a deposit on check in.
  • The guest will be responsible for settling the remaining balance and any additional nights booked, at the time of check in. Any incidentals incurred during the stay will need to be paid direct to the hotel upon check-out. Please be advised the hotel will apply a surcharge to all credit card payments (Visa and Mastercard 1.5% surcharge and 3% for American Express).  Payment by cash or EFTPOS will not incur a surcharge.

 

Novotel Christchurch

  • Breakfast can be purchased at the Square Restaurant, located on the 1st floor of the Hotel from 6am - 10am Monday - Friday, and 6am - 11am Saturday and Sunday.  A discounted breakfast rate of $29 per person per day is available.
  • Car Parking (subject to availability upon check-in)
    • Valet parking at a cost of $35 per vehicle per night
    • Self-parking at a cost of $20 per vehicle per night
  • Check-in time is 2pm. Check-out time is 11am.

Individual Bookings

  • Secure self-parking is available at a cost of $30 per vehicle per night.  Parking is subject to availability upon check-in.
  • Check-in time is 2pm. Check-out time is 11am.
