Registration Terms and Conditions

  • Full payment for registration fees must be received prior to the Conference.
  • All prices are in New Zealand dollars and include Goods and Services Tax of 15%.
  • If you cancel your registration on or prior to 31 August 2025 you will receive a refund less a cancellation fee of $100. Cancellations made after 31 August 2025 are non-refundable.
  • In-person registrations may be changed to virtual, receiving a refund of the difference in fees, up to 31 August 2025. Changes made after that date are non-refundable
  • Virtual attendees may change to In-person registrations at any point, paying the difference in applicable fees.
  • In the event that you are unable to attend the conference due to Covid-19 related restrictions affecting travel from your region or the conference is cancelled due to Covid-19 restrictions you will receive a refund less $100 to cover expenses already incurred.
  • If, for reasons beyond the control of the Organising Committee, the Conference is cancelled, registration fees will be refunded after the deduction of expenses already incurred.
  • The Privacy Act 2020 provides that, before your name and contact details can be published in a list of participants you must give your consent.  If you select ‘Yes, I do want my details to be included in the list of participants’ on the registration form or by email, your details may be distributed to:
    • Conference delegates, sponsors and exhibitors (note that if consent is give to have your details included in the List of Participants, it is likely that sponsors may add you to their mailing lists and send promotional emails to you)
    • Organisers of future New Zealand Principals’ Federation events
  • Should you need to cancel your registration for any reason, you may reassign your registration to another person. Please notify the Organisers of the replacement delegate's name and contact details.
  • By registering for the Conference you are confirming consent for any video and photographs taken at the Conference, in which you may appear, to be used by the committee in promotion of the Conference.
  • By registering for the Conference, you are consenting for your data to be used as per the Data Consent Policy. If you decide against your data being used, your registration will be cancelled less the cancellation fee above.

Participant Conduct

You will conduct yourself in a professional manner that is free from any form of discrimination, harassment, or retaliation.
You will treat all participants with respect and consideration to create a collegial, respectful, inclusive, and professional environment at the Adaptation Futures Conference 2025.

Legal Claim

This agreement is subject to the law of New Zealand. In the event of any legal claims arising from either party, New Zealand shall be the sole court of jurisdiction. 

Programme

The University of Canterbury reserve the right to modify the program, which is published as an indication only. 

Insurance

If you are travelling to the Conference, it is strongly recommended that you purchase comprehensive travel insurance to cover the duration of your visit.

 

Accommodation Terms and Conditions

  • Room configurations are subject to availability. The requested configuration will be sent to the hotel but cannot be guaranteed.

BreakFree on Cashel

  • Check in is at 2pm.  Check out is at 10am.
  • A credit card guarantee for the full stay is required to secure the reservation. The credit card details submitted on this booking form will be securely transferred to the hotel. The hotel will charge the credit card for the full amount owed 30 days before arrival.
  • If the booking is cancelled on or after 8 September 2025 or if the guest fails to check-in on the arrival date specified, you will be subject to full cancellation charges for all nights booked. 
  • Room configurations are subject to availability and will be requested to the hotel but cannot be guaranteed.
  • All guests will be required to provide credit card details for pre-authorisation on check-in. If the guest does not wish to use their credit card then a deposit will be required on check-in.
  • All guests are responsible for settling the full hotel bill including any additional nights booked and any incidentals incurred upon departure.  Please be advised the hotel will apply a surcharge of 2% to all credit card payments, payment by cash or EFTPOS will not incur a surcharge.

Chateau on the Park

  • Check in is at 3pm.  Check out is at 11am.

  • A credit card guarantee for the full stay is required to secure your booking. The credit card details submitted on this booking form will be securely transferred to the hotel to guarantee the booking only.  Full payment will be required directly with the hotel on check-in. 
  • If the booking is cancelled between 8 September 2025 and 1 October 2025, you will be subject to a cancellation fee of 1 night's accommodation.  If the booking is cancelled on or after 1 October 2025 or if the guest fails to check-in on the arrival date specified, you will be subject to full cancellation charges for all nights booked. 
  • Room configurations are subject to availability and will be requested to the hotel but cannot be guaranteed.
  • All guests will be required to provide credit card details for pre-authorisation on check-in. If the guest does not wish to use their credit card then a deposit will be required on check-in.
